This Privacy Statement describes how Alloy Consulting LLC(“we”, “us”, or “Developer”) handles data within the Real Fixed Assets Physical Inventory Cockpit (the “Application”).

1. Architecture and Data Residency (On-Premise/Private Cloud)

Our solution is designed as a SAP Add-on. This is the core of our privacy commitment:

• Local Processing: The Application is installed directly into your SAP environment. All data processing occurs exclusively within your own IT infrastructure.
• No External Data Transfer: No personal data, asset information, photos, or documents are transmitted to the Developer’s servers. You maintain full control over your data within your secure SAP perimeter.

2. Categories of Processed Data

The Application facilitates the processing of the following data types within your system:

• User Data: SAP User ID and technical roles for accountability and audit trails.
• Asset Data: Inventory numbers, descriptions, asset status, and locations.
• Media and Attachments: Photos of assets and supporting documents uploaded during the inventory process.
• Technical Metadata: OData service logs required for communication between mobile/Fiori interfaces and the SAP core.

3. Device Permissions (Mobile/Fiori)

To provide full functionality, the Application may request access to:

• Camera: For barcode/QR-code scanning and asset photo documentation.
• Storage: To upload existing documents or save temporary session data.
• Geolocation: Only if the coordinates-logging feature is enabled by the Client. All data is sent directly to your SAP backend via secure HTTPS connections.

4. Data Security and Integrity

• Authorization: Access to all functions is governed by standard SAP Authorization Objects.
• Encryption: All data in transit is protected using industry-standard TLS/SSL encryption.
• Database Integrity: The Application interacts with SAP data via official BAPIs and standard OData services, ensuring financial data consistency.

5. Compliance and GDPR

As the data never leaves your infrastructure, you (the SAP Customer) act as the Data Controller. Our software is built to help you remain compliant by:

• Providing tools to edit or delete asset-related media and documentation.
• Maintaining an audit trail of inventory activities.
